6. What do we use your data for?
We use your personal data only if we have a legal basis for doing so. In the table below, you can see the purposes for which we use your data, on what basis, and, where applicable, what legitimate interest we have in doing so.
| Purpose | Legal basis |
|---|---|
| Processing and delivering orders, invoicing, and payment | Performance of the agreement with you |

| Displaying personalized recommendations on our website | Consent |
| Handling complaints and establishing, exercising, or defending legal claims | Legitimate interest (protecting our legal interests) |
If you are a contact person for a business customer, we enter into the agreement with your organization and process your data based on our legitimate interest in performing that agreement.
When we rely on our legitimate interest, we balance that interest against your privacy interest. You may object to this processing (see section 11).
If we want to use your data for a purpose other than the one for which we obtained it, we will inform you in advance.
Are you required to provide your data? You are not legally required to provide your data to us. However, we do need certain data to process an order or answer a question. Without that data, we cannot serve you, or cannot fully serve you.
Automated decision-making We do not make decisions based solely on automated processing that have legal effects on you or otherwise significantly affect you. The personalized recommendations on our website do not have such effects.
7. How long do we retain your data?
We do not retain your data longer than necessary for the purpose for which we process it, or for as long as we are legally required to retain it.

After the retention period ends, we delete or anonymize your data. Anonymized data can no longer be traced back to you and may be used by us for statistical purposes. If necessary for handling an ongoing complaint or legal proceeding, we retain the relevant data until it has been concluded.
8. With whom do we share your data?
We do not sell your data. We share your data with others only if necessary for the purposes described in section 6, or if we are legally required to do so. This concerns the following categories of recipients:
- dealers, to the extent necessary for handling your order or question;
- carriers and delivery services, for the delivery of orders;
- payment service providers, for processing payments;
- IT service providers, for hosting, maintenance, and support of our website and information systems;
- the service provider that sends our newsletter;
- our accountant and advisors, where necessary;
- government authorities, such as the Tax Administration, if we are legally required to do so.
We enter into a data processing agreement with parties that process your data on our behalf, such as IT service providers and the sender of our newsletter. In this agreement, we set out that they appropriately protect your data and use it only for the assignment we give them.
Other recipients, such as dealers, carriers, payment service providers, our accountant, and government authorities, may themselves be responsible for processing your data. Their own privacy statement applies to that processing.
9. Where do we process your data?
We process your data within the European Economic Area (EEA). If, in exceptional cases, a service provider processes your data outside the EEA, we do so only if appropriate safeguards are in place, such as an adequacy decision by the European Commission or standard contractual clauses approved by the European Commission. You may request information from us about these safeguards or a copy of them.
10. How do we protect your data?
We take appropriate technical and organizational measures to protect your data against loss, misuse, and unauthorized access. Only employees and service providers who need your data for their work have access to that data.
If a data breach unexpectedly occurs, we report it to the Dutch Data Protection Authority where required and inform you if the breach poses a high risk to you. Do you have questions about our security, or do you have indications that your data is not properly secured or is being misused? Please contact us.
11. What rights do you have?
You have the following rights with regard to your personal data.
Right of access
You may ask us what data we process about you, and you may request a copy of that data.
Right to rectification
You may ask us to correct or supplement your data if it is inaccurate or incomplete.
Right to erasure
You may ask us to delete your data, for example if we no longer need it, if you withdraw your consent, or if you have successfully objected. We cannot delete data that we are legally required to retain, such as data subject to tax record retention requirements, or that we need for establishing, exercising, or defending legal claims.
Right to restriction
In certain cases, you may ask us to restrict the use of your data, for example while we assess a request for correction or an objection from you. In principle, we may then only retain your data.
Right to data portability
You may ask us to provide the data that you yourself have provided to us and that we process automatically based on your consent or an agreement, to you or to another organization in a structured, commonly used, and machine-readable format.
Right to object
Based on your specific situation, you may at any time object to processing that we base on our legitimate interest. We will then stop the processing, unless we have compelling legitimate grounds that override your interests, or the data is needed for establishing, exercising, or defending legal claims.
You may always object to the use of your data for direct marketing, such as our newsletter. We will then immediately stop that processing.
Right to withdraw consent
If you have given us consent for processing, you may withdraw that consent at any time. For cookies and personalized recommendations, you do this via the cookie settings on our website, for the newsletter via the unsubscribe link, and in other cases via info@kooijmans.com. Withdrawing your consent does not affect processing that has already taken place before you withdrew your consent.
Right to file a complaint
You may file a complaint with the Dutch Data Protection Authority if you believe that we are not handling your data properly. You can read how to do this at www.autoriteitpersoonsgegevens.nl. We would appreciate it if you contact us first, so that we can look for a solution together.
12. How do you submit a request or complaint?
Send your request or complaint to info@kooijmans.com.
We will respond as quickly as possible and no later than within one month of receipt. If your request is complex or if we receive many requests, we may extend this period by up to two months. In that case, we will inform you of this within one month of receipt, including the reason for the extension.
Submitting a request is free of charge. If a request is manifestly unfounded or excessive, for example because it is submitted repeatedly, we may charge a reasonable fee or refuse the request. We will then tell you why.
To prevent us from providing data to the wrong person, we may ask you to provide additional data if necessary to establish that the request came from you.
If we correct, delete, or restrict your data at your request, we will also inform the recipients to whom we have provided your data, unless this is impossible or involves a disproportionate effort. At your request, we will let you know who these recipients are.
13. Which cookies do we use?
We use cookies on our website. We place non-essential cookies only with your consent. You can change your cookie preferences at any time via the cookie settings on our website. More information about the cookies we use can be found in our cookie policy: https://www.kooijmans.com/cookie-policy

You can subscribe to our newsletter via our website. For this purpose, we ask for your email address. We send the newsletter based on your consent.
If you are a customer of ours, we may also send you information by email about our own products that are similar to what you have previously purchased from us, even without a subscription. We do this only if you did not object to this when providing your email address.
You can always unsubscribe free of charge via the unsubscribe link in every newsletter.
15. Links to other websites
Our website may contain links to websites of other parties. Kooijmans Quality Tools is not responsible for the content of those websites or for the way those parties handle your personal data. This privacy statement does not apply to them. We recommend that you read the privacy statement of those websites.
16. Minors
Our website and services are not directed at children. We do not knowingly process personal data of persons under 16 years of age without the consent of a parent or guardian. If we discover that we have nevertheless received such data, we will delete it. Are you a parent or guardian and do you think that we are processing your child's data? Please contact us.
17. Changes and questions
We may amend this privacy statement, for example in the event of changes to our services or legislation. The most current version is always available on our website. In the event of material changes, we will actively inform you where possible.
Do you have questions about this privacy statement or about how we handle your data? Then send an email to info@kooijmans.com. We will be happy to help you.
